Time well spent: making the most of your calendar



Your calendar can be an incredible resource if used properly, and in the fast-paced world we live in, effective calendar management is vital to reclaiming control over our time. In this article, I'll explore seven valuable tips to optimise your calendar usage, ensuring that every minute contributes to your success and well-being. Let's go!

  1. Go digital and sync across devices. A digital calendar makes it easy to share with different parties, and you can easily add, remove and change things.

  2. Prioritise tasks. Use tools such as the Eisenhower matrix (https://asana.com/resources/eisenhower-matrix) to decide which tasks to do when. Another way to do this is recommended in the book 'Life Admin Hacks'. They recommend first of all scheduling inevitable events, then next hours of power to get life admin tasks done, and lastly scheduling the inspirational (fun time).

  3. Set reminders. Use reminders and alerts to avoid missing a significant event or deadline. I often set a reminder for one day before and one hour earlier, ensuring I am preparing ahead of time both the day before and on the day.

  4. Conduct regular reviews. Regularly review your calendar, preferably at the beginning and end of each day. This also helps you anticipate what's coming and prepare accordingly.

  5. Limit multitasking. While it might seem efficient, multitasking can reduce overall productivity. Stick to one task at a time and schedule separate blocks for different activities.

  6. Include buffer time. This is SO important. Avoiding back-to-back events means you can allow for unexpected issues. It also gives you time to take short breaks to recharge.

  7. Learn to say no. Don't overcommit. If your calendar is consistently too full, it might be time to re-assess your priorities. And learn to say no to non-essential tasks or events. Keep this in mind when saying no: "Don't shrink, don't puff up, stand your sacred ground" (Brené Brown)
